1. PRODUCT OVERVIEW
1.1. TechnologyOne Financials
TechnologyOne Financials is a multi-ledger financial management and accounting system. A client can define an unlimited number of general purpose or specific purpose ledgers. Each ledger can have its own unique user defined account structure.
Subsidiary ledgers can also be created to track financial information outside the general ledger, using a different and more appropriate account structure and each with its own unique chart of accounts. Examples of subsidiary ledgers include:
• Mobile phones
• Motor vehicles
• Provisions
• Travel
Any financial information outside of the general ledger can be tracked, monitored, controlled, analysed and reported by using a user defined subsidiary ledger. Subsidiary ledgers can be created at any time, both now and in the future, based on your needs as they change and grow.
TechnologyOne Financials provides a single point of entry for all data. A transaction such as an invoice can be dissected at the time of entry across any number of ledgers. All ledgers are updated simultaneously to provide a consistent view of the financial information.
1.2. Multi-Dimensional user defined account structure
TechnologyOne Financials recognises the key to good financial management is the account structure. This is where your financial information will be stored and analysed. With TechnologyOne Financials multi-dimensional account structure, you can define virtually any number of Account Components appropriate for your organisation.
Each component or combination of components provides another dimension or view by which your financial information can be managed, analysed and reported.
You can enhance your account structure further through the use of Selection Codes that allow you to tag accounts or components with identifying information. Selection Codes also form part of the multi-dimensional account structure, and as such, can easily be used in reports and enquiries, along with Account Components.
By using Selection Codes, this shortens the length of the account number, making it easier to use and remember. Also, with the use of Selection Codes, not all the information is locked up in the account number. This makes organisational restructures easy to undertake, as account numbers do not need to be changed, only the Selection Codes against an account number or component. As the account numbers do not change with an organisational restructure, this eliminates the need to re-train end users and convert existing accounts and financial data.
Account Components and Selection Codes can be quickly and easily defined. The relationship between components can also be user definable, creating a powerful chart of accounts for validation purposes.
1.3. Powerful and flexible user defined data entry
TechnologyOne Financials works the way you want to work, allowing all data entry functions to be tailored quickly and easily by a non-technical user.
TechnologyOne Financials is able to meet the requirements of your organisation without the need for software program code changes. Tailoring is achieved through a simple and intuitive ‘point and click’ graphical designer, where existing data entry screens can be easily tailored, or new screens and processes defined. This tailoring extends to invoices, journals, and payments, credit and debit notes, cheques and prompt payments, to mention just a few.
All modified screens or newly created screens are automatically maintained across all future releases of TechnologyOne Financials.
1.4. Seamless integration
Your financial system is a core application for your organisation. TechnologyOne Financials enables you to seamlessly integrate and interface all other software systems, whether they are modern and popular software systems such as Excel or industry specific applications such as banking or billing systems, or your own ‘in-house’ developed systems.
Data from external systems can also be easily integrated into TechnologyOne Financials through our External Systems Interface. This module greatly reduces the time and a cost associated with integrating external systems, and ensures that these systems continue to integrate with future TechnologyOne Financials releases.
TechnologyOne Financials also provides a set of Business Components/Web Services, which can provide real-time integration. These provide a suite of documented Interface Program Objects, which can be called by other Programs to access TechnologyOne Financials data or to directly update TechnologyOne Financials. These Business Components provide a standardised way of validating and updating external data into TechnologyOne Financials. They can also be called by external systems to validate account numbers and to return reference information from TechnologyOne Financials. Examples include names, addresses, descriptions, and so on.
1.5. Reporting
TechnologyOne provide a range of reporting tools. Some of our reporting tools work against TechnologyOne Financials. Others can operate against other systems’ data as well.
Finance One Portals / Alerts
The final reporting tool that we would like to highlight is the new Published Reports functionality in TechnologyOne Financials. This allows Key Performance Indicators to be displayed in graphical terms, with drill down into the underlying data. XLOne Enterprise is used to design the Publishing Summaries (gauges, charts etc).
Users are able to click on the summaries to view XL One Enterprise reports with the underlying detail. Based on XL One Enterprise’s capabilities, these Summaries and Reports can be display information from TechnologyOne Financials and your other business systems.
The Alerts and Notifications function in TechnologyOne Financials also assists in “pro-active” management of the business by providing alerts about defined business conditions. We ship a suite of Alert Definitions based on the TechnologyOne Financials modules. These are maintained in xml files, allowing other Alerts to be created. This could include Alerts based on other Business Systems.
1.6. Purchasing
TechnologyOne Financials offers a fully integrated and comprehensive purchasing solution, encompassing controlling, maintaining and streamlining the purchasing activities across your organisation. You can have total control over your own purchasing activities, and establish an unlimited number of purchasing locations. TechnologyOne Financials supports both the philosophies of distributed purchasing and centralised purchasing for multiple locations. Full commitment tracking is provided within TechnologyOne Financials.

TechnologyOne Financials Workflow capabilities streamline the approval and escalation process with a central summary that provides purchasing information at your fingertips. FinanceOne improves business process efficiency through its automated purchasing function. The system uses work sheets to create ‘suggested orders’ that can be reviewed and amended prior to the generation of purchase orders.

1.7. Project, Works and Asset Management
TechnologyOne’s Projects & Works Management solution is a comprehensive tool flexible enough to manage projects and works within a broad range of sectors, such as higher education research projects, local government, public infrastructure facilities, industrial services, construction and health care organisations.
You can also manage the entire lifecycle of projects and assets through TechnologyOne Work & Asset Management, an integrated project management and job costing system. Gain unprecedented integration between your human, physical and financial resources in a single solution.
1.8. Workflow
TechnologyOne Financials provides a function call workflow central. Workflow central allows full online enquiry into the present location and stage of approval of every document within the system. TechnologyOne Financials tracks against each document the full approval history. All this information is gathered together in a single place called workflow central.
Workflow functionality is built around the comprehensive TechnologyOne Financials authorisation codes. This allows an organisation to assign individual users to an authorisation code which defines their delegations of authority and referral hierarchy for all aspects of Purchasing and data entry, and assists them in their everyday activities. Any number of employees can be linked to a particular authorisation code and they can be restricted to use only this code in carrying out their duties.
Where delegations of authority are exceeded or at the user’s discretion, transactions can be automatically referred to other users for their review or approval. This can trigger an e-mail message which is sent to the relevant personnel to facilitate the approval. From this message an icon is available which logs the user into Workflow Central from which approval can take place. This functionality can also be used to track and report on ‘bottlenecks’ in the organisation and can therefore actively contribute to the efficiency of the organisation.TechnologyOne provides regular public training courses for all products on demand in each of our offices. Our Account Managers are responsible for regularly assessing client training requirements and will recommend an on-going training program if applicable.
